Upcoming and Overdue Reports
The Upcoming and Overdue Reports section is one of the most prominent, being found at the very top of the page. This section of the dashboard populates with any reports that are overdue by at least one day. Upcoming reports can also be viewed by using a filter. The grid displays the case information and the number of days that each report is overdue. A Case Contains Non-Registered GTS User(s) icon displays if an assigned guardian does not have a UJS Web Portal account. In addition to viewing information, this section provides access to a number of functions for managing overdue reports and sending overdue notices. It should be noted that any overdue notices generated out of GTS will not be recorded in your case management system.
Filtering the Overdue Reports Displayed in the Grid
You may wish to limit the number of overdue notices displayed in this section. For example, if you are generating overdue notices in batch but do not want to send the notice for reports that are less than 30 days overdue, you can filter out these reports. Filtering can also make it easy to find all overdue notices for a specific case or using other criteria and allows you to view upcoming reports.
Using a Defined Filter
The quickest way to apply a filter is using date ranges that have already been defined for you. To apply a defined filter:

Click your mouse anywhere outside the filter popup. The grid updates with the reports that match the selected filter. |
Clearing the Filter
Clear the filter to return the reports in the grid to the default view for the Dashboard. To clear the filter:

Ensure the Select All option is selected for every filter field. |
3. |
Click your mouse anywhere outside the filter popup. The default view displays for the Dashboard. |
Reviewing Overdue Report Details and Adding Comments
Details of an overdue report provide greater information such as the reporting period for the guardian and a history of overdue notices that have been sent. This function can also be used to record comments that communicate information related to overdue notices. For example, a guardian calls your office and informs you that they had almost completed their guardian report in GTS when their computer froze and now needs to be repaired so they cannot complete it before the due date. You can record a comment that the guardian will submit the report late due to the computer issue with the goal of preventing an overdue notice from being sent. When a comment is entered, an indicator displays in the Comment column in this section of the dashboard. This will prompt court staff to check the report details to review the comment when processing overdue notices.
To review report details and/or record comments, perform the following:

In the grid in this section of the Dashboard, locate the overdue report you wish to view or add comments to. |
2. |
Click the View Report Period Details icon |
3. |
Add comments by recording them in the Comment field. |
4. |
Review any additional details, as needed. When finished, click the OK button to return to the Dashboard. If comments were recorded, an indicator now displays for that report in the Comment column. |
Printing an Overdue Notice for an Individual Report
Many times, it will be more efficient to generate overdue notices in batch. However, it may be necessary to produce a notice for an individual guardian report in some circumstances.
To print an overdue notice for an individual guardian report, perform the following:

In the grid in this section of the Dashboard, locate the overdue report that needs an overdue notice. |

Click the View Report Period Details icon |
3. |
Click the Reprint icon |
4. |
The letter is generated and opens in a new window or browser tab which can be used to print it and mail it to the guardian. When finished, return to the tab in your browser for the UJS Web Portal to continue. |
5. |
Click the OK button to return to the Dashboard. The Last Action column updates to indicate a notice was sent and the Last Action Date displays the current date. |
Reprinting Overdue Notices
An overdue notice that was generated, either individually or in a batch, can be reprinted as needed. This is useful, for example, if a notice jams in the printer or otherwise gets damaged.
To reprint an overdue notice, perform the following:

In the grid in this section of the Dashboard, locate the overdue report that needs to have an overdue notice reprinted. |

Click the View Report Period Details icon |
3. |
Review the Notice History grid and locate the overdue notice that needs to be reprinted. Click the Reprint icon |
4. |
The letter is generated and opens in a new window or browser tab which can be used to print it and mail it to the guardian. When finished, return to the tab in your browser for the UJS Web Portal to continue. |
5. |
Click the OK button to return to the Dashboard. |
Generating Overdue Notices in Batch
GTS allows you to print overdue notices for multiple cases in a batch to streamline this process.
To generate a batch of overdue notices, perform the following:

Select the overdue reports in the grid that need to have a letter sent. This can be done by selecting the individual checkboxes in each row in the first column of the grid, or by clicking the Select/Deselect All checkbox in the first column of the header row, which selects every row. The Select/Deselect All checkbox can still be used even if one or more letters displayed should not be generated. After clicking the checkbox, click the checkboxes for any reports in the grid that should not get an overdue notice at this time to clear the checkbox. |

All of the overdue notices for the selected reports are generated in a single file and open in a new window or tab which can be used to print them. When finished, return to the tab in your browser for the UJS Web Portal to continue. When your Dashboard is refreshed, the Last Action column updates to indicate a notice was sent and the Last Action Date displays the current date for the reports that were selected in the batch. |
Generating the Tracking Report
The Overdue and Upcoming Tracking Report prints a list of any overdue reports selected in this section of the dashboard. This can be a useful report to print after generating a batch of overdue or reminder letters so you can refer back to those that were generated on a particular date. The report is also useful for quickly reviewing any comments that have been added.
